Intercon Recruitment is fully committed to compliance with the Protection of Personal Information Act (POPIA), Act No. 4 of 2013. We recognise the importance of protecting the privacy of personal information and ensuring that all processing activities are lawful, transparent, and secure.

Our Commitment

We are committed to:

  1. Informing candidates (applicants/work-seekers) of the purpose for which we collect and process their personal information.

  2. Protecting personal and confidential data from internal and external threats, whether deliberate or accidental.

  3. Promoting transparency, accountability, and responsible handling of personal data within the organisation.

 

Policy Scope

This policy sets out the principles and procedures for the collection, use, storage, sharing, and destruction of personal information. It applies to all Intercon Recruitment staff, candidates, service providers, and clients.

Information Officer Responsibilities

The Information Officer is responsible for:

  • Conducting compliance assessments

  • Implementing and monitoring this POPIA policy and related processes

  • Ensuring documentation remains current and relevant

  • Communicating updates to staff and stakeholders

  • Ensuring all service providers handling personal data on our behalf comply with POPIA through written agreements

POPIA Principles

1. Accountability

We take all reasonable steps to ensure personal information — including CVs, references, qualifications, and background checks — is securely stored and accessed only by authorised individuals.

2. Processing Limitation

We collect personal information directly from candidates and will only process or share this information with consent, unless required by law. Where legally required, candidates will be informed where reasonably possible.

3. Purpose Specification

We collect personal information strictly for recruitment purposes — assessing candidate suitability, facilitating job applications, and forwarding CVs to clients.

4. Further Processing Limitation

We will not process personal information in a manner that is inconsistent with the original purpose for which it was collected.

5. Information Quality

We are responsible for ensuring the information we store is accurate, complete, and current. We may contact candidates periodically to confirm this. If we are unable to reach a candidate, their personal information may be deleted.

6. Openness and Transparency

Where information is collected from third-party sources (e.g., job portals, LinkedIn), we ensure candidates are:

  • Aware their data has been collected

  • Informed of who is collecting it

  • Informed of the reason for the collection

 

7. Security Safeguards

We implement appropriate technical and organisational measures to safeguard personal data against loss, unauthorised access, or misuse. Access is restricted to trained, authorised personnel and used only for legitimate recruitment purposes.

8. Participation of Individuals

Candidates may:

  • Request access to their personal information

  • Request to know who has accessed their data

  • Request corrections or updates to inaccurate or outdated information

 
Operational Controls

Monitoring

Management and the Information Officer oversee implementation of this policy. Staff and stakeholders are trained as appropriate to their roles. Periodic audits will be conducted to ensure compliance.

 

Operating Procedures

Standard controls include:

  • Allocation of data protection responsibilities

  • Incident reporting and resolution

  • Access control and user management

  • Staff awareness training

  • Data backup and retention procedures

 
Policy Compliance

Any breach of this policy may result in disciplinary action, including termination of employment or service agreements.

For Candidates

By submitting your CV or personal information to Intercon Recruitment, you acknowledge and confirm that:

  1. You have read, understood, and accepted this POPIA policy.

  2. You consent to Intercon Recruitment storing your information in our database for current and future job-matching opportunities.

  3. You give consent for us to share your CV with prospective employers for positions aligned with your experience and qualifications.

  4. You authorise Intercon Recruitment to contact the references listed on your CV, or any additional references you may provide, to verify your employment history and conduct.

  5. We will not contact your current employer without your explicit consent, and only where it will not place your current employment at risk.

  6. If you are not applying for a specific advertised position and your CV is being stored in our database, we will contact you to request your consent before submitting your CV to a client for any future role.

  7. You confirm that all personal information you have provided is true, correct, and up to date.

  8. You understand that you may withdraw your consent at any time by contacting Intercon Recruitment in writing.
